The term ‘greeting’ refers to the audio that you record for your BayLink message box and is often the first point of contact that a caller will have with you or your business. First impressions can be lasting impressions so invest some time to script and record the most appropriate greeting. Take a few minutes to consider
who will be calling and what will be the nature of their call
giving your business name and your title
conditioning caller to your probable response time
giving alternative contact points such as your email
providing other information such as
hours of operation
location
nature of services or products
providing emergency/after hours contact information

Recording Your Greeting
Your outgoing announcement message can be up to 5 minutes long. There is no need to speak too fast.
Telephone handsets will pick up background noise, so try and be in a quiet place when recording your announcement message.
Callers can skip your greeting and go directly to the beep tone by hitting the “1” key at any time. You may wish to include this near the beginning of the outgoing message.
If your outgoing message changes regularly, you may wish to include the date of the last update. For example <<Today is _______, and program will be…..etc.>>.
If this is an information line that does not accept messages, it is also a good practice to include wording such as <<Hello and thank you for calling the __________information line. >> or <<This is an
information line which does not accept messages, to contact _______ please call ________. return to top
Create an Audio Brochure
Selling a product or service? Prospective customers can call day or night looking for information. Not all prospects use the Internet and many people prefer to hear a description before buying. You are probably paying significant money to advertise so why not maximize the opportunity to deliver that information by creating an audio brochure. Dictation Machine
Take advantage of BayLink’s 7 minute messages to use it as a dictation machine. Simply call your voicemail, press 1 to skip your greeting and then record your thoughts, mental notes, “To Do’s, meeting results, action items, etc. etc. Combine with the email notification feature for easy playback allowing you to capture your comments into an email, written notes, automated Tasks lists, etc. return to top
Question/Answer & Data Capture
BayLink message boxes can be “chained” together to create a question/answer sequence. Each message box in the chain asks a question (the greeting) and collects an answer (recorded message) then passes caller to the next message box. In this way callers can be guided through question/answer sequence such as a survey or other data capture process. The recorded audio is delivered together.
